User Data Deletion

At ChatbotX, we respect your right to control your personal data. This page explains how you can request deletion of your data and what happens when you do.

1. How to Delete Your Data

Methods to delete your data

You have multiple ways to delete your data from ChatbotX:

A Delete a workspace

ChatbotX Dashboard (Recommended)

Select Delete workspace to schedule permanent deletion. ChatbotX deletes the Workspace, its Contacts, settings, and data 24 hours after you confirm.

  1. Log in to your ChatbotX account at app.chatbotx.io.
  2. Go to Settings → General.
  3. Scroll down and click "Delete workspace".
  4. Confirm the deletion when prompted.
Only delete a Workspace when you no longer need its data. The deletion removes all Workspace data after the 24-hour period.

B Disconnect from Meta Settings

Facebook & Meta

  1. Open your personal Facebook account → Go to Settings & privacy → Settings.
  2. Navigate to Business Integrations.
  3. Find ChatConnectX and tap or click Remove.
  4. In the confirmation dialog, check "Send request to ChatConnectX to delete data" and confirm.
Meta will automatically send a data deletion callback to our server, invalidating all channel tokens and deleting associated records.
2. What Data Gets Deleted

Scope of data deletion

When your ChatbotX workspace or account is deleted, the following data is permanently expunged:

Permanently Deleted

  • Workspace, channels, and general settings: Workspace profile, connected channels (Facebook Pages, Instagram, WhatsApp, Telegram, Zalo, Webchat), team roles, and settings.
  • Contacts, subscriber profiles, and custom fields: Full contact base, customer attributes, Custom Fields, Bot Fields, and tags.
  • Flows, keywords, triggers, and automation rules: Visual flows, keyword triggers, sequences, and Comment-to-DM rules.
  • Conversation history, message logs, and attachments: Chat histories, message exchange logs, media, and transcripts.
  • Connected Meta access tokens: Facebook, Instagram, and WhatsApp Cloud API credentials permanently revoked.

Retained for Legal/Safety (up to 90 days)

  • Server access logs: IP addresses, request headers, and timestamps, automatically purged after 90 days.
  • Abuse and fraud prevention records: Retained only if flagged for security review.
3. Meta Automated Data Deletion Callback

Unified Webhook Callback for Meta Channels

In accordance with Meta Platform Policy, ChatbotX provides an automated Data Deletion Request Callback for all channels integrated via Facebook Login for Business:

Facebook Fanpage

Messenger conversations, comments, and page webhook subscriptions.

Instagram via Meta

Comment-to-DM rules, Direct Messages, and linked Meta business tokens.

WhatsApp Cloud API

Business Account credentials, message exchange logs, and conversation history.

Unified Account Purge: Because all three channels share a single Meta App ID, when you remove ChatConnectX in Facebook Settings and check "Send request to ChatConnectX to delete data", Meta dispatches a single webhook. ChatbotX immediately revokes all channel tokens and purges all Facebook, Instagram, and WhatsApp data under that Meta account.

Instagram Direct Integration Exception: Standalone Instagram Logins (connected directly without Facebook) do not display an on-screen "Send request" button in Instagram settings. Instagram transmits a deauthorization signal and shows your User ID. Contact [email protected] for manual purge if required.
Authentication: Receives POST signed_request verified via HMAC-SHA256 signature using the Meta App Secret.
Response Payload: Returns HTTP 200 with confirmation code (BOTX-DEL-XXXXX) and status tracking URL.
4. Deletion Status Check

Check deletion status

After a data deletion request has been processed, verify status by entering your confirmation code below (e.g. BOTX-DEL-LA8VQ6W). If opened directly from Facebook, the code is detected automatically.

If you don't have a confirmation code, your request may still be processing. Please allow up to 24 hours for automated callbacks.
5. Timeline

Processing timeframes

Workspace Deletion (Dashboard)

Scheduled immediately; permanent purge executes after the 24-hour grace window.

Channel Disconnect

Immediate cessation of webhooks and automated messaging.

Meta Deletion Callback

Automated deletion processed and acknowledged within 24 hours.

Residual Server Logs

Purged automatically after 90 days in accordance with data retention rules.

6. After Deletion

Important consequences

  • Automations stopped: Your chatbot automations, triggers, and Comment-to-DM rules will stop immediately.
  • Tokens revoked: All connected Meta channel access tokens and webhooks are permanently revoked.
  • Irreversible action: We cannot recover deleted workspace data, flows, or contacts once purged.
  • Reconnection: If you wish to use ChatbotX again, you will need to create a new workspace and reconnect your channels.
